This position provides confidential office support for District administrative functions, such as:
prepares a variety of documents including correspondence, forms, memos, Board reports, annual reports, expense reports, contracts, and confidential reports and memos, serves as assistant Records Manager for the District and maintains filing system for the Office of the General Manager, including official District records and confidential records and documents; assists with scheduling and conducting meetings, events, and travel; assists with the compilation, distribution, posting, and delivery of Board meeting agendas and related materials; provides service and assistance to the public, acts as Assistant District Secretary serving as a back-up for the Executive Assistant/District Secretary; and performs related work as required.
This position regularly works outside normal business hours providing support for regular and special Board meetings and workshops as well as other public, community, and staff meetings and events.

types a variety of documents including correspondence, forms, memos, Board reports, annual reports, contracts, and confidential reports and memos; maintains filing system for the Office of the General Manager, including confidential personnel records; assists with the compilation, distribution, and delivery of Board meeting agendas and related materials; receives, greets, and screens telephone calls and visitors; provides factual information and assistance to the public; acts as Assistant District Secretary serving as back-up for the Executive Assistant/District Secretary as necessary; and performs related work as required.
DISTINGUISHING CHARACTERISTICS Administrative Assistant is a single-position administrative support class.
Under general supervision, within a framework of established policies and procedures, the incumbent performs complex administrative duties supporting the General Manager and Board of Directors, requiring the ability to analyze situations and make decisions in accordance with rules, laws, and regulations.
Some responsibility to provide lead level support to other employees on a limited basis may be required.
This classification is distinguished by its access to confidential information and assignments to provide administrative support to the Executive Assistant/District Secretary and support to programs in the General Manager's office, such as water resource planning, water conservation, public education and public information.
Typical Qualifications REQUIREMENTS Any combination of education and experience that would likely provide the required knowledge, skills, and abilities is qualifying.
A typical way to obtain the knowledge, skills, and abilities would be the equivalent of:

Experience:
Possession of an Associate's degree from an accredited college or university in business administration, public administration, English or a related field; and five (5) years of full-time experience working for senior management or professional staff in an administrative support capacity.
State certification as a Notary Public is required within six months of appointment.
Valid California Class C driver's license and a satisfactory driving record.

Retiree Health
Benefits:
Coverage is provided through the CalPERS Health program.
The District's contribution for retiree coverage shall be the PEMHCA minimum contribution as determined by CalPERS on an annual basis.
Please refer to the Memorandum of Understanding for various eligibility and plan details.
Employees hired on or after January 1, 2019 will receive a defined-contribution benefit into a retiree health savings account.
Life Insurance:
The District provides you with Basic Life Insurance and Basic AD&D Insurance of one and one half times your annual salary to a maximum of $250,000.
There is no cost to employee for this insurance.
Long Term Disability:
The District provides you with Long Term Disability Income Insurance of 66 2/3% of monthly earnings with a maximum monthly benefit of $15,000.
Short Term Disability:
Coverage is provided through the District for employees working more than 20 hours per week at 66 2/3% of base weekly earnings for the first 12 weeks up to a weekly benefit maximum of $2,350.
Deferred Compensation:
Optional deferred income plans allowing tax sheltering of current income and payment later as supplemental retirement income.
The District pays a match of up to $1,750 per year to the employee's 401(a).
Vacation:
10 days first year, increasing to 25 days after 20 years.
Holidays:
11 days per year.
Sick Leave:

80 hours to 96 hours of Management Leave per calendar year (depending on classification).

Tuition Reimbursement:
The District will reimburse 100% of the total tuition and textbook costs incurred in taking courses outside of normal working hours related to District employment up to an annual maximum of $5,250.
